Rentsafe privacy statement

This policy covers the RentSafe TechApp mobile application only — the native app used by field technicians to carry out property inspections. For MHS Automation’s general privacy policy covering our websites and other services, see our main Privacy Policy. Where the two differ on anything to do with the TechApp itself, this page governs.

MHS Automation Pty Ltd (ABN 83 658 753 029) (“MHS Automation”, “we”, “us”, “our”) operates RentSafe, a property compliance and inspection platform, and the RentSafe TechApp mobile application (“the App”) that field technicians use as part of that platform. This policy explains what the App collects, why, and how it’s handled.

Who uses this app

The App is a work tool issued to technicians engaged by MHS Automation or by agencies and property managers who use the RentSafe platform. It is not aimed at, or intended for use by, members of the public, tenants, or children.

What the App collects

Account & login

  • Your username and password, sent once to our server to sign you in. The password itself is never stored on the device — only a short-lived access token is, used to keep you signed in.
  • Optionally, if you enable it, your device’s Face ID / fingerprint / screen-lock credential is used by your device’s own operating system to re-confirm it’s you before that stored token is used again. The App never sees or stores your biometric data itself — that stays entirely within iOS/Android’s own secure hardware.

Job, property and tenancy data

To let you work offline in the field, the App downloads and stores on your device the day’s assigned bookings and the property, agency and tenancy information needed to complete them — for example: property addresses, access instructions and lockbox codes, agency and tenant contact details, prior inspection answers, and any alerts or notes attached to a job. This is the same operational data the RentSafe web platform already holds for the agencies and property managers we serve; the App doesn’t collect any of it independently, it only downloads what’s needed for your own assigned work.

Photos and files you capture

When you take a photo or attach a file during an inspection (for example, evidence of a completed smoke alarm or blind cord check), it’s stored on your device and then uploaded to our servers as part of that inspection record. Camera and photo library access is requested only at the moment you choose to take or attach a photo, and nothing is captured in the background.

Location

The App reads your device’s GPS location at the moment you start a job, start or copy an inspection, or mark a job complete or incomplete, and sends that single reading along with the action so the office has a record of where the work took place. Location is never read in the background, and is never used to track your movements generally — if you decline the location permission, or no fix is available, the action still goes through, simply without a location attached.

Device & sync information

  • A device-generated identifier that lets our server send your device live updates (for example, when the office reassigns or updates a job) and route your queued offline writes correctly. It is not used to track you across other apps or sites.
  • Basic sync/connectivity status (e.g. online/offline, last-synced time), used only to drive the App’s own offline behaviour.

What we don’t collect

The App contains no advertising or analytics SDKs, and doesn’t share data with any third party for marketing or advertising purposes. The dashboard map renders tiles from OpenStreetMap to display job locations; this sends map tile requests (map area only, no account or personal data) to OpenStreetMap’s servers, the same as any map-based app.

Why we collect it

Solely to let you carry out and complete your assigned inspection work, including working without a signal, and to keep the office and the App in sync once you’re back online. We don’t use anything the App collects for advertising, and we don’t sell it.

Who it’s shared with

The App communicates only with MHS Automation’s own RentSafe servers. Job and inspection data you submit is shared with the property manager or agency that commissioned the work, in the same way it always has been through the RentSafe platform — that’s the purpose of the work. We don’t sell your personal information or share it with third parties for their own marketing purposes.

Your rights

You can ask us what personal information we hold about you, ask us to correct it if it’s wrong, or raise a concern about how it’s been handled, at any time using the contact details below. If you believe we’ve breached the Australian Privacy Principles, we’ll investigate and respond in writing.

Changes to this policy

We may update this policy from time to time as the App changes. We’ll update the date at the top of this page when we do.
